Payment FAQs
Payments move through the payment cycle before remittance to payees. Payment instructions are first submitted to Tipalti, then validated before going through payer and payment provider approval processes. Upon payment release, payers are notified of payment success or failure. You can manage payments on the "Payments" tab of the Tipalti Hub.
Yes. There are minimum and maximum payment provider thresholds per payee currency and payment method. Click here for a complete list of these thresholds.
Payments are processed immediately after payment instructions are submitted (and have been approved, if payment groupA group of payment orders/ instructions that the payer submits to Tipalti to execute payments to payees approval is required). The bank may take a couple of hours to execute payments.
Consider the following terms when submitting payments:

Payment instructions can be submitted in one of the following ways:
- Upload a payment fileA CSV or TXT file that contains one or more payment orders/ instructions to Tipalti. It can be submitted via the Tipalti Hub or Tipalti's FTP path. or add an individual payment through the Tipalti Hub (see Submit payment instructions)
- Submit instructions through our REST APIs
- When you pay bills through the Tipalti Hub, payment files are created (see Pay bills)
Refer to the Payment error codes section, which describes payment errors, provides solutions, and lets you know if the error affects only an individual payment or the entire batch of payments. You can also see if the error can be viewed by the payee in the iFrame/ Supplier Hub and if the payee receives notification of the error.
Once the payment file is submitted, a "Submit Payments" screen displays, which indicates the balance required in each of your provider accounts. Click here for descriptions of the fields on this screen.
Yes. The results of your submitted payment are available as reports in the API or as files in the SFTP folder. The results indicate who has and has not been paid. Successful payments are marked "Submitted" and unsuccessful payments are marked "Deferred", "Deferred (Internal)" or "Pending Funds", depending on your Tipalti configuration (see Payment error codes for reasons for deferred [or rejected] payments). Update your business records for those payees who have been paid successfully while taking note of those who have not been paid in this payment cycle.
Yes. An email is sent advising them to update and resolve the reason the payment has not been remitted. This notification allows payees to quickly correct the problem and be ready to receive payment in the next payment cycle.
As a general rule, pay everyone with a positive balance. If payments are deferred, payees are notified to correct the problem. Once fixed, assign new unique refcodes to these payments so that Tipalti will recognize the payments as new. Then upload these payments to Tipalti for the next payment cycle. If you have frequent enough payment cycles (you can determine what "enough" is), then there is nothing more to consider. However, if you feel that your payment frequency is insufficient to address those who updated their information, consider adding a corrections cycle several days after the original payment cycle.
Yes. You can use the Pending Funds model, which is a more robust method of handling deferred payments due to insufficient payer funds. Instead of paying these payments in the subsequent payment or corrections cycle, pay payments sooner by depositing the required funds into the payer account.
Yes. Enter the scheduled date in the payment file for upload, or in the ProcessPayments API request. Alternatively, if you use the Bills module, you can schedule payments when preparing the bill for payment in the Tipalti Hub.

The value date can be viewed in a Payment details report, which is a report of all payments loaded to the Tipalti Hub during a specific month or date range. Value dates can also be viewed in a payments summary file, which is a payment details report for a single payment file).
Yes. Payment reports can be downloaded from the Tipalti Hub for wire transfer, ACH, Global ACH/Local bank transfer, and check payment methods. Click here for how-to steps.
Tipalti assigns payments different statuses based on where the payments are in the payment cycle. View payment statuses and other information by downloading a Payment Details report.

Payment amounts are converted to the payee currency on the day of transfer using the bank's conversion rate. Foreign exchange fees are then applied.

Funding
On the Payments > Funds required subtab, you can view the total amount of pending transactions (including scheduled payments) and the total funds required above the current account balance to cover all payments. Click here for further information.
Wire transfer is the fastest method to deposit funds directly, in local currency, to your Tipalti account. Then Tipalti directs the payment to the payee's preferred account based on the chosen payment method. When it is time to fund your Tipalti account, go to the "Payments" tab, and click "+ Add funds". You will see "Important instructions" on how to fund your account. It is crucial that you follow these instructions to ensure funds get to your account quickly, and that payments go out in a timely manner.
The "Account details" section provides you with values for the following fields that are needed to send the wire transfer to your Tipalti bank account.
- Account number
- ABA routing
- Name on account
- Deposit reference*
* You must include the deposit reference number so that we can identify your funds.
It is a cheaper alternative to wire transfer that you can use to fund your Tipalti account.
ACH allows only USD funding and is a slower process than wire.
To send the ACH, you need to use the following values for Tipalti's bank account:
- Account number
- ABA routing
- Name on account
- Deposit reference
Once ACH setup is complete, you can fund either via ACH or wire transfer.
We recommend that you fund your account 1 to 3 business days in advance of your planned payment date to ensure funds reach the account on time.
Pay bills by card
This program is designed to seamlessly integrate into your current workflow. All USD payments sent to vendors who accept card payments will be issued as virtual card payments. Vendors will process the virtual card like they would any other credit card.
All scheduled USD payments to vendors that Tipalti identifies as payable by card will automatically be paid with a virtual card. Once the payment is processed, it will appear with “Card” as the payment method and includes the card’s last four digits for identification. These payments will sync to your ERP like any other invoice payment processed via Tipalti.

In addition to the convenience of utilizing a new, effortless payment method where Tipalti manages the entire process—from identifying eligible invoices to converting them for card payments—you’ll also earn cashback on every dollar spent using Tipalti's virtual card. Furthermore, you'll enjoy zero transaction fees and swift payment confirmation.
Credit card payments are processed instantly, meaning your suppliers will receive their funds quickly. In addition, your suppliers will be able to access rich transaction details, simplifying and accelerating reconciliation.
Suppliers will receive a payment confirmation email with the invoice to help them process and reconcile their payments.
Just like other card payments, these payments have the same standard fees charged by credit card processors. Tipalti charges no extra fees.
This payment method currently applies only to US-based customers paying US-based suppliers who accept card payments. We are excited to extend these benefits to your transactions and are actively working on including more currencies in the future.
We aim to ensure a smooth payment process and avoid redundant supplier communication. We will only contact your suppliers if that’s the only way to complete the card payment. If the supplier includes a payment link on their invoice or an option for payment by email, we’ll attempt to use those methods before contacting them.
Cashback will be deposited directly to your Tipalti Virtual Account at the beginning of each month for earnings from the previous month.
If you change a supplier’s payment method to one that’s not a card, they will not be paid by card in the future unless you or the supplier choose to.
The payment is captured by the supplier either immediately, or, if the supplier chooses so, at the time they decide to process the card. Fund settlement with their card processor remains unchanged.
We may make multiple attempts to process the card payment depending on the rejection reason. If we can't pay the bills by card, a new payment will be made via the supplier's previously selected payment method.
Yes, once a supplier receives their first payment via card, they will continue receiving all payments by card unless their payment method is changed in the Supplier Hub.
