Bill FAQs
Bills move through the bill cycle before entering the payment cycle for payee remittance. Tipalti offers three types of bill flows, each affecting how bills move through the bill cycle (the bill flow may require bill approval prior to payment). Paying bills moves the bill into the payment cycle for final processing.
It is recommended that you review bills daily to ensure payments are paid in a timely manner. The Bills module consists of a number of screens to help you process bills. Your user role and the configured bill flow type determine which screens display and which actions you can perform. Click here for details on how to use each screen.
AI Smart ScanAI Smart Scan is a tool that reads scanned invoice images or PDFs and extracts the details, which are used to populate the fields on a bill. is an image processing technology algorithm that converts an invoice image into a digital bill. Therefore, you do not have to spend time completing all the bill fields in Tipalti. Tipalti's AIArtificial Intelligence Smart Scan also supports multiple languages. Image quality needs to be a minimum of 300 dpi with a minimum height of 1100 pixels.

Go to any bill screen and use one of the following identifiers in the search bar:
- Bill refcode
- Payment refcode
- Payee ID
- Payee name
- Company
- Alias

Yes. You need the Payer Administration role to change the columns that display. To the right of the column headers, click and select up to nine column headers. Go to each bill screen and repeat. For a list of available column headers and descriptions of each, click here.
On any bill screen, click "Add filters" and select the filters you want applied. You can filter by payee, bill and payment information, and line level custom fields, including information that may not be readily visible in the "Bill List" you are currently viewing. There are three ways to apply vendor credit (or credit notes), depending on the payer's bill flow and preference.
- Create a negative bill.
- Use the bill Discount field.
- Add a negative bill line.

Yes. Do one of the following:
- Use the bill "Discount" field.
- Add a negative bill line to the bill. If you tend not to capture bill lines, then enter the reduced total payable amount in the bill "Total" field.

You can do one of the following from the "Invoice review" or "Bill details" screen.
- Submit the bill for internal approval (invoice processing flow)
- Release the bill for internal approval (self-billing with internal approval only AND internal + payee approval)
- Release the bill for payee approval / invoice (self-billing with payee approval only)
- Save the bill for editing later
- Dispute the bill
Tipalti assigns bills different statuses based on where the bills are in the bill and payment cycles. View bill statuses, bill payment statuses and other information by downloading a Bill Details report. Bill status for each bill can be also be viewed on the "Bills" tab of the Tipalti Hub.
